Using Microsoft Teams for phone calls

Microsoft Teams Phone makes and receives calls to and from landlines and mobile phones. It provides a cloud-based phone system in Teams with features such as hold, blind and safe transfers, and reporting features.

Opening Microsoft Teams phone calls

Open your Teams app or go to https://teams.microsoft.com/v2/, The Teams app is preferred.
Click on the "Calls" widget to open the phone feature.

Dial the whole phone number or search the name of any Sask Polytech account holder.

🚨Do not use “9” to dial out. Emergency calls (911) do not require a call-out number. You may accidentally call 911 if you use “9” and a long-distance number.

Receiving a call

Press the blue handset icon for audio-only or the blue camera icon for audio and video.
Press the red phone icon to reject a call, and push it to voicemail.

Forwarding calls to voicemail or another number

Click on the dropdown arrow beside Forward to voicemail and click More settings.
Forward all calls and select forward to voicemail or to a contact number. Use 1+1 xxx-xxxx before the number.

Calling from a shared line

1. Within the Calls app, type in the name or number of the person you are trying to reach. Use 1+1 xxx-xxxx to dial an external number.

2. Click the dropdown if you have access to a shared line. Select the line you'd like to call out from. The recipient will this name/number instead of your personal number.

3. Once you select the shared line, the call will be placed.

Transferring a call to another user

1. While on a call with another user, click the "Transfer" button from the main ribbon and enter the name or number of the person you'd like to reach.

2. You can also choose the ring back option to ensure the call isn't dropped or sent voicemail during the transfer. The call will automatically be sent back to you if the recipient doesn't answer.

3. You may also consult with a person before transferring your call. Click "Transfer" from the main ribbon and select "Consult then transfer" from the drop down menu.

4. Type the name or number of the person you'd like to reach. Click "Chat" to send a direct message through Teams.

5. A new dialogue box will appear. From there, message the person and transfer the call from the top of the window.

🆕Blocking incoming callers

ℹ️ No current video is available for this feature.

1. Go to the "Calls" app in Microsoft Teams.

2. Find the number you'd like to block in the "History" column. Click the three dots ". . .".

3. Click "Block" from the dropdown.

4. You'll see that the number is blocked in your call history.

5. You can also unblock the number you want or need to following the same steps but selecting "Unblock".

Managing voicemail

1. Go to your profile settings by clicking the ellipses next to your profile picture. Click the "Calls" tab.

2. Scroll down to the "Manage Voicemail" section. Set your voicemail preferences. You can either record a customized greeting or use the text-to-speech option.

3. You can also set your out-of-office voicemail preferences in the "Manage out-of-office voicemail" section below. If you have an out-of-office reply on in your Outlook, your Teams reply will play your customized out-of-office voicemail greeting.
